2006 Who's involved
The Forest of Galtres Festival is run by an enthusiastic team of volunteers. The event is overseen by a committee governed by a constitution, which has the following objectives:
The mission of the GFC will be to:
- Promote enjoyment of good real ales, ciders, food and live music
- Promote awareness of extent and quality of locally-produced ales, ciders, food and music
- Support local independent breweries, cider houses, food producers and musicians
- Organise a fun, family day out
- Strengthen the communities of the Forest of Galtres area
- Raise funds for local charities
A full copy of our constitution is copied below. We are a non-profit making organisation.
The management of the Festival is undertaken by a company limited by guarantee, Galtres Festival, registered in England number 5908090. The company's objects are "to make grants for such charitable purposes as the company shall in its absolute discretion determine".
Charitable status has been obtained. Registered charity number 1116636.
James Houston is the main organiser and licensee for the event.
Other committee members include:
Paddy Harrop - Paddy works for the Forestry Commission where his role covers outside concerts and events.
Peter Morris - Pete is a solicitor and takes care of professional matters.
Joanna Burgess - Jo's job is training people who work with teenagers and young adults. She has lived in Sutton on the Forest for a number of years, and has enjoyed getting involved in the festival, especially the workshop activities.

CONSTITUTION Galtres Festival Committee
1. NAME
1.1 The name of the organisation shall be Galtres Festival Committee (GFC)
2. MISSION
2.1 The mission of the GFC will be to:
- Promote enjoyment of good real ales, ciders, food and live music
- Promote awareness of extent and quality of locally-produced ales, ciders, food and music
- Support local independent breweries, cider houses, food producers and musicians
- Organise a fun, family day out
- Strengthen the communities of the Forest of Galtres area
- Raise funds for local charities
3. MEMBERSHIP
3.1 Membership is open to all persons wishing to participate in the activities of the committee irrespective of their belief, nationality, religion, sexual orientation, age or race.
3.2 Members are required to observe the constitution of GFC at all times. Failure to do so may result in the cancellation or refusal of membership.
4. MANAGEMENT
4.1 A committee of up to eight members shall manage the affairs of the organisation.
4.2 The Committee shall comprise a Chief Carouser, and up to seven other members at least two of whom shall represent the local community.
4.3 Committee members will be elected at the Annual General Meeting for a period of one year. If a vacancy arises between AGMs, the committee shall have the power to fill it.
4.4 Proposals for election of Committee members must be supported by nomination at the AGM.
4.5 The Committee may co-opt other people as GFC members to assist it. Such co-options may be made by a simple majority of Committee members present at a meeting.
4.7 Decisions affecting GFC shall be taken on the basis of a simple majority vote of those Committee members present at a meeting.
4.8 GFC Committee meetings shall be held at least 3 times per year.
4.9 The quorum for a Committee meeting shall be four Committee members.
4.10 The Committee shall have the power to deal with any matter not provided for in this constitution.
4.11 The Committee will report annually to the AGM
4.12 The company may appoint an agent or other corporate body to run the festival on its behalf
5. ANNUAL GENERAL MEETING
5.1 GFC shall hold an Annual General Meeting, normally in April, and at an interval of not greater than fifteen months.
5.2 Notification of an AGM shall be given by GFC no later than 28 days prior to the meeting on the Galtres Festival Website
5.3 Any constitutional changes must be notified to the members of GFC up to 14 days prior to any AGM.
5.4 The committee of GFC must be notified of nominations and proposals for discussion at an AGM no later than 7 days prior to the meeting.
6. FINANCE AND ACCOUNTS
6.1 The financial year shall run from 1 April to 31 March.
6.2 The Chief Carouser shall be responsible for the preparation of the annual accounts of GFC, which shall be subject to examination by other members of the committee.
6.3 The accounts shall be audited by a chartered accountant nominated by the committee and made available at the AGM
6.4 All cheques drawn against the GFC bank account shall be signed by two of the two signatories nominated by the Committee.
6.5 No financial agreement will be entered into for more than £100 without prior agreement of a majority of the committee at meeting or confirmed by a majority of the committee members by mail or in writing.
6.6 GFC is a non-profit making organisation. All income received shall be applied solely to the promotion of the objectives of the GFC. No member shall receive payment from GFC other than the reimbursement of reasonable fees and expenses necessarily incurred in the furtherance of the objectives of GFC.
7. DISSOLUTION
7.1 In the event of the dissolution of GFC, any assets left after liabilities have been met shall be dispersed to local charities on a vote of the committee.
7.2 In the event of dissolution of GFC any liability due to Committee Members is limited to one pound per person.

For the information of members, the following is a list of the various duties of the committee in relation to the management of GFC. The list is not exhaustive.

- chairing all official functions
- recording the minutes of the meetings
- keeping the minutes as a source of reference
- dealing with the correspondence
- managing the finances
- presenting an annual balance sheet
- managing promotion and publicity
- seeking sponsorship
- representing GFC
- liaising with other bodies
